Scheduling Backups
Tenant admins configure recurring backups in Settings & Access → Backups. The scheduler runs in the background, so an administrator does not need to keep the browser open.
Choose a cadence
The portal shows only schedules allowed by the current plan.
- Free: weekly
- Starter: daily or weekly
- Business: daily, weekly, or every two weeks
- Enterprise and Enterprise Plus: daily, weekly, every two weeks, or custom days
A custom cadence accepts a whole number of days from 1 through 365. The portal shows backend-owned schedule state, including whether the policy is disabled, invalid, awaiting its first scheduled run, due, or scheduled. Manual backups do not move the next scheduled run.
Choose the target scope
The scheduled target can be:
- All discovered sites
- Selected hubs and their spokes
- Selected site types
- Explicit SharePoint site URLs
The service resolves the selected scope against the current discovered-site cache when the scheduled run starts. Keep discovery current when you add sites or change hub relationships.
Set retention
Retention is per site. The value is the number of versions to keep for each protected site.
The value must be at least one and cannot exceed the current plan's retention limit. The portal and Settings & Access plan section show the active limit. When a backup succeeds, older versions beyond the configured limit can be pruned for that site.
Set backup-email preference
Choose one of these preferences:
- Off
- Failures only
- All
This setting controls backup status notifications. It does not disable security or access-management emails.
Test the current configuration
Use Test Run in the scheduled-backup section to queue a scheduled backup with the current settings. It moves through Queueing, Queued, Running, Completed, or Failed based on worker progress. Review the resulting per-site backup history after completion.
Data region
The tenant data region is assigned from the tenant directory and cannot be changed in the portal. The settings page shows whether the tenant is using the US or EU region.
