Email Notifications

M365Suite can send transactional emails for access and backup operations. Delivery is handled by the service notification integration rather than by a mailbox configured in the portal.

Events covered by the product

The application has notification paths for:

  • Access requests
  • Role assignment and removal
  • Invitations and invitation acceptance
  • Scheduled backup success, partial completion, or failure
  • BYOA certificate-expiry reminders

The exact recipients depend on the event. For example, access requests go to tenant admins, while an invitation goes to the invited email address.

Backup-email preference

Tenant admins can set the backup status preference in Settings & Access → Backups:

  • Off
  • Failures only
  • All

This preference applies to backup status notifications. It does not necessarily suppress access, invitation, role, or certificate lifecycle messages.

Certificate reminders

A BYOA tenant with a managed certificate can receive expiry reminders as the certificate approaches expiration. The Settings & Access connection page also shows whether the certificate is active, expires soon, or is expired.

Important limits

Email delivery depends on the configured notification integration and recipient mail flow. Use the portal and your organization’s mail controls to verify delivery. The documentation does not guarantee delivery timing, inbox placement, or identical rendering in every mail client.
